How it works

Five steps from audience to send, then results on the record.

Outreach is a guided editor in Salesforce. You can move back and forth between steps, save at any point and send only when the review is clean.

Step 1 · Details

Name it and choose the number

Give the outreach a name recipients never see, and choose From (business number). Only numbers you're allowed to send from are listed, and replies come back to that number.

Step 2 · Audience

Pick who receives it

Members of a Salesforce Campaign, records that match filters, or records in a Salesforce report. Then choose which phone field to text.

Step 3 · Message

Write one message for everyone

Type it or start from a template, insert merge fields, and keep the opt-out line. Characters, segments and encoding update as you type.

Step 4 · Schedule

Once, or on a schedule

One time, every day, every week or every month, at the hour and in the time zone you choose. Or save it without a schedule for now.

Audiences come straight from your org when the outreach runs, so there's nothing to export, clean up and upload.

Members of a Salesforce Campaign

The Contacts and Leads in one campaign. Each run reads the members at the time it sends, so people added later are included.

Records that match filters

Records of one kind, such as Contacts or Cases, that meet up to 10 conditions, all of which must be true. Use fields you can read, relative dates like TODAY or LAST_N_DAYS:30, and comparisons such as equals, contains or is one of.

Records in a Salesforce report

Any tabular or summary report you can see, with a record ID column such as Contact ID and up to 2,000 rows. A report that returns more is blocked, never partly sent.

Filters and reports work with every object your admin has set up for texting: Contacts, Leads, Accounts and Cases out of the box, plus any others added in Recipients. A report runs again every time the outreach sends, so its own filters decide who is in each run.

Who will receive it

See who gets the message, and why anyone won't.

Review & Send runs the same checks the send will and sorts every record into one of these groups. Select a group in the product to see what it means.

  • The outreach owner cannot see the record

    Records the owner of this outreach is not allowed to read are never messaged.

  • No phone number

    The record has no number in the phone field used for texting.

  • Not a valid mobile number

    The number is incomplete or is not a valid mobile number.

  • Same number as another recipient

    One message is sent per phone number.

  • Opted out

    These people replied STOP or were opted out. They are never texted.

  • Merge fields cannot be filled in

    A merge field is blank or unavailable for these records and has no fallback.

Will be sent the message

The people left after every check, with a check line that adds the groups up to the total. Eligibility is checked again for every recipient when the message is sent.

Sample messages

Up to three merged messages, with the longest one marked, plus an estimate of SMS segments in total. Samples come only from records you can see.

An explicit confirmation

I reviewed the recipients and the message. Send outreach stays off until you tick it, and a changed audience or message means reviewing again.

For large audiences the detailed counts cover the first 2,000 records, and ConnectSMS says so on screen. Every record in the audience is checked the same way when the outreach runs.

The message

One message, personalized for each person.

Start from an active template or write the text yourself, then add merge fields that fill in for every recipient when the message sends.

  • Merge fields with fallbacks, such as {!Contact.FirstName|there}, filled from each recipient's record
  • Characters, segments and encoding as you type; the review shows the exact count after merging
  • Add opt-out instructions is on by default and adds Reply STOP to opt out. on its own line
  • Turning the opt-out line off shows a warning, because carriers expect bulk and marketing texts to say how to opt out
  • Messages can be up to 1,600 characters, including the opt-out text

Scheduling

Send once or on a schedule, in the time zone that matters.

Choose how often the outreach sends, the hour, and the time zone. It defaults to your Salesforce time zone, and you can pick any other.

Turn off Turn on this schedule to save the outreach without one. You can still send it now, or turn the schedule on later.

  • One time, Every day, Every week on the days you pick, or Every month on a day from 1 to 31 or the last day of the month
  • Days 29 to 31 send on the last day of shorter months
  • A first day to send, and a Last day to send (optional); the outreach also sends on that day
  • Daylight saving is handled: a skipped hour sends just after the clocks change, and a repeated hour sends once
  • An occurrence more than 12 hours late, for example because background jobs weren't running, is skipped with a reason instead of sent late
  • Access, opt-outs and the business number are checked again before every send, and your admin's quiet hours delay outreach messages

Stay in control

Pause, cancel or send again, with the consequences spelled out.

The actions sit on the Outreach results card, and each one asks you to confirm and says exactly what will happen.

Pause

Future sends stop. A run that has already started keeps sending, so ConnectSMS reminds you to cancel the outreach if you need to stop it.

Cancel

Future sends stop, and messages that haven't been handed to Twilio are canceled. Messages Twilio already accepted can't be recalled.

Start again

There's no Resume button. Edit the outreach and turn on Turn on this schedule to start sending again.

Review and send now

The Review and Send action opens the same audience check and never sends on its own. If the outreach already ran today, it warns you first.

When the owner changes

The outreach pauses until the new owner reviews and saves it, because recipients are always checked against the owner's access.

One run at a time

If an earlier run is still being prepared or still has messages waiting, a new send is refused rather than doubled up.

Outreach results

Results you can trust, run by run.

The Outreach results card on the outreach record, and the Run results card on each Outreach Run, update while messages are on their way.

Replies come back to the outreach's business number, where people with access to that number see them in the shared inbox.

  • Progress: Requested, Queued or scheduled, Sending, Sent and Delivered
  • Other outcomes: Blocked, Failed, Undelivered, Canceled and Unknown
  • Only carrier-confirmed deliveries count as Delivered; Sent means handed to the carrier
  • Why messages were blocked, such as Opted out or Daily safeguard reached, and which records got no message because of duplicates or missing numbers
  • Unknown messages are checked with Twilio and never resent automatically

Permissions

Outreach is for the people you choose.

Creating, reviewing, launching, pausing and canceling outreach needs the ConnectSMS Campaign Manager permission set. It also lets people manage shared templates.

  • The author needs Send access to the business number, or a number made available to automation plus the ConnectSMS Automation permission set
  • Records the outreach owner can't read are never messaged, whoever presses Send
  • Campaign Manager doesn't include one-to-one texting; combine it with ConnectSMS User
  • Admins set quiet hours, opt-out scope and an optional daily safeguard, and can turn off sending for the whole org

Administration and roles

Before your first outreach

Twilio and the carriers apply their own sending rules. US numbers need an approved A2P 10DLC campaign or verified toll-free status, and ConnectSMS doesn't change or work around those requirements. Send outreach only to people who agreed to hear from you.

Opt-outs are always enforced. When someone replies STOP, they're left out of later messages until they reply START; your admin decides whether that covers every business number or only the one that received the STOP. Consent and opt-outs

Bulk SMS from Salesforce: common questions

Can Salesforce send bulk SMS?

Yes, with ConnectSMS outreach. A campaign manager chooses an audience from a Salesforce report, the members of a Salesforce Campaign, or records that match filters, writes the message, and sees exactly who will receive it before sending or scheduling. People who opted out, duplicate numbers and missing or invalid numbers are left out automatically.

Which Salesforce records can an outreach text?

Three kinds of audience: the Contacts and Leads in a Salesforce Campaign, records of one kind that match up to 10 filter conditions, or the records in a tabular or summary Salesforce report that has a record ID column and returns no more than 2,000 rows. Filters and reports work with any object your admin has set up for texting, such as Contacts, Leads, Accounts and Cases.

Can I see who will receive an outreach before it sends?

Yes. The Review & Send step checks the audience the same way the send will. It shows how many people will be sent the message, how many records were left out and why, sample messages and an estimate of SMS segments. For large audiences the detailed counts cover the first 2,000 records, and every recipient is checked again when the outreach runs.

Can an outreach send on a recurring schedule?

Yes. Choose One time, Every day, Every week or Every month, including the last day of the month. You pick the hour and the time zone, and daylight saving changes are handled for you. You can also set a last day to send.

How do I pause or stop an outreach?

Use Pause or Cancel on the Outreach results card. Pause stops future sends. Cancel also cancels messages that haven't been handed to Twilio yet. There is no Resume button: to start again, edit the outreach and turn its schedule back on.

Who can create and send outreach?

People with the ConnectSMS Campaign Manager permission set. They also need Send access to the business number, or a number your admin has made available to automation together with the ConnectSMS Automation permission set. Campaign Manager doesn't include one-to-one texting; combine it with ConnectSMS User for that.
